Migration: Running your imports

Move your data from Beacon standard templates into your Beacon account.

Now that your import templates are ready to go, it's time to run your imports!

  1. In your sidebar, head to Import data > Run import

  2. Choose your templates one by one

  3. Upload your csv. file

โ„น๏ธ Beacon will flag if there are any errors in your data:

The importer will also highlight:

  • The column of your spreadsheet that the error was found

  • What the error is

  • A 'tip' for fixing the error

  • Which rows in your spreadsheets contain the errors

  • The total number of errors

This should help you to either:

  • Fix the errors in your spreadsheet

  • Amend your import template

Checking your data

It's a good idea to run some spot checks on your data once you've finished your imports.

Consider checking your data after each import that you run.

Check for things like:

  • Data completeness: do these records have all the information that I had on my spreadsheet?

  • Correct mappings: for any information that you mapped yourself in your import templates, is that data in the correct field in Beacon?

  • Accurate links: For records like Payments or Event attendees where we expect them to be linked to a Person record:

    • Are they linked?

    • Are they linked to the right Person?

FAQs

In which order should I run my imports?

It doesn't matter too much! We find that it's sometimes best to start with your People and Organisations simply because of how many other records in Beacon link to those record types.

It'll make checking your imports a little easier - you'll be able to make sure everything is linked up correctly!
