How to edit a drop-down field

Change, add or re-order options in a drop-down.

Drop-down lists are versatile, and ensure cleaner data compared to a free text field for when there's a limited range of possible values in a field. But that doesn't mean they won't need to change sometimes!

Changing, adding or re-ordering the options in a drop-down field is quick and easy.

Note: You'll need to be an admin to change drop-down list options


Adding new drop-down options

Individually

  1. Enable customisation mode by clicking on the cogwheel in the top right of a record

  2. Click the drop-down field you'd like to edit (directly on the field, not the card)

  3. Type your new drop-down option in the 'Add drop-down options' box and press enter ↵ on your keyboard

  4. Click 'Save'.


In bulk

Got a long list of options and don't want to add them one at a time?

  1. Enable customisation mode by clicking on the cogwheel in the top right of a record

  2. Click the drop-down field you'd like to edit (directly on the field, not the card)

  3. Click the icon at the right hand side of the 'Add drop-down options' box

  4. Type or paste in your list of new drop-down options, making sure to enter one new option per line, then click 'Add'.

  5. Click 'Add'


Removing options

To remove any drop-down options that you no longer need, follow these steps:

  1. Click on the drop-down field you'd like to remove your option from

  2. Click the 'X' next to any option that you no longer need

  3. Click 'Save'

Warning: Any records that had that option will have that value removed - there is no undo, so make sure you don't need it!


Reordering drop-down options

By default, any new drop-down options will be added to the bottom of your list.

  1. Enable customisation mode by clicking on the cogwheel in the top right of a record

  2. Click the field you'd like to edit (directly on the field, not the card)

  3. Click on the drop-down option you'd like to reorder and drag and drop it to the correct place in your list.

  4. Click 'Save'.


Renaming an option / changing from one option to another

Summary

To rename or change an existing drop-down option, you need to:

  1. Create the new option

  2. Update all of the records with the old option to use the new one

  3. Remove the old option

Step by step guide

  1. Follow the steps above to add a new option

  2. Go back to your list of records

  3. Filter for those records that have the old option


  4. Select them all, click the action menu (the three dots) and click 'Update records'


  5. Choose your drop-down field, and select the new option. If your drop-down list allows multiple options to be selected, choose 'Add to existing values' as the merge option.

  6. Click 'Update'

  7. Follow the steps above to remove the old option
