Adding alerts to records

Highlight the important information that you want to see straight away on a record

Heads up! This is a guide for admins. If you're not an admin yet, ask your Beacon admin to promote you so you can start managing alerts.

Alerts in Beacon are a great way to highlight important information on a record. You can use them for anything, but here's a few examples:

Creating alerts

  1. Open customisation mode when viewing a record.

  2. Click the alerts icon in the top right of the page:

3. An alert settings dialog will appear, showing you a list of all of the existing alerts.

4. Click create new alert.

5. Enter a title and message that you'd like to show in your alert.

6. Choose an alert type. Think about what kind of message you'd like to show in your database when choosing this.

7. Set the show conditions. These are filters just like those used for segmentation, except this time, you're using them to determine whether an alert should show on a given record.

Note: Let's say you wanted to show an alert for all people who are deceased. You could add a show condition which looks at the Deceased field to only show the alert when it is checked:

8. Click Create.

That's it! Your alert will now show automatically on records that satisfy your show conditions.


Editing alerts

  1. Open customisation mode when viewing a record.

  2. Click the alerts icon in the top right of the page:

3. An alert settings dialog will appear, showing you a list of all of the existing alerts. Click the edit icon on the right of the alert you'd like to change:

4. Make the relevant changes, and then click Save.
