Automatically importing your data with the Fundraise Up app for Beacon

The Fundraise Up platform offers highly optimized, AI-powered Checkout forms and campaign pages to boost conversion rates and maximize successful donations across all campaigns. These are a great alternative to using the built-in Beacon Forms. You can find more information about them here.

With the Fundraise Up app for Beacon, you can automatically import all your donations, subscriptions and campaigns into your Beacon database.

Install guide

1. Get your API key from Fundraise Up

First up, you need to get an API key from Fundraise Up. Fundraise up have a handy article on how to do so here.

  • Go to your Dashboard > Settings

  • Select "API Keys"

  • Click "Create API Key" button

After you've named your API key, when prompted to choose 'Permissions' select:

  • Retrieve donation data

  • Live data

2. Add your details to Beacon

Once you have your API key, you can connect the Fundraise Up app in Beacon! Head over to Apps > Directory and click Install on the Fundraise Up app.

You'll be immediately prompted to connect with Fundraise Up:

Next, enter your API key:

Once you've entered all of the details, click Connect.

Review the settings and then click Save integration.

Nicely done! Fundraise Up is now connected to your Beacon account!


Features

Beacon's integrations will import the following records from Fundraise Up:

  1. People - 'Supporters' in Fundraise Up

  2. Payments - 'Donations' in Fundraise Up

  3. Subscriptions - 'Recurring plans' in Fundraise Up

  4. Funds - 'Designations' in Fundraise Up

  5. Campaigns

  6. Gift Aid Declarations

We will not import the following:

  1. Fundraising pages (Fundraisers in Fundraise Up)

  2. Tributes

  3. Custom Fields

Note about Payouts: We will import payments from Fundraise Up with their Stripe 'External ID'. If you have the same Stripe account connected to both Beacon and Fundraise Up, donations will also be linked to Payouts in Beacon created by Stripe.

Payments (Donations)

When someone makes a donation on a Fundraise Up form, Beacon will automatically add that donation as a Payment record in Beacon. The Payment will show as having been created by Fundraise Up.

Beacon will also import Subscriptions if a regular donation has been set up via Fundraise Up.

The 'External ID' of these payments is the Stripe ID, but if you want Fundraise Up's ID, this is in the notes.

Subscriptions (Recurring plans)

Fundraise Up's donation forms support more frequency options than Beacon's donation forms. If you are using all of the frequencies in Fundraise Up, you may want to consider adding these as new options to the 'Frequency' dropdown field on Subscription record in Beacon. The full list of Fundraise Up supported subscription frequencies is:

  • Daily

  • Weekly

  • Every 2 Weeks

  • Every 4 Weeks

  • Monthly

  • Every 2 Months

  • Quarterly

  • Every 6 months

  • Annually

Once added to the 'Frequency' dropdown field on Subscription record in Beacon, we will set these values for data imported from Fundraise Up. If you choose not to add all of these options, we will leave the frequency blank.

You will be able to use the 'Next payment date' field to see when the next Payment is expected.

Important note: Beacon only supports 'Monthly', 'Quarterly', and 'Annual' frequencies Subscriptions set to auto-create Payments. Make sure that when adding values to the 'Frequency' field the team know to only use supported frequencies for these Subscriptions.

Additionally: Our article on importing data via CSVs from Fundraise Up uses Fundraise Up's terms rather than what we recommend, for instance, "Biweekly" is stated above as "Every 2 weeks".

We recommend that if you added the additional frequencies into your account, that you add the ones listed above and then do a "Bulk Update" to the new terms before removing the old phrased Frequencies.

Frequently asked questions

Does Beacon import our previous Fundraise Up data or just donations that happen in the future?

Our Fundraise Up integration is forward-looking. It only imports donations that are made after the Fundraise Up app is installed (and any subsequent information).

You can use our pre-built Fundraise Up import templates to import your existing data.

Is there a delay in data being imported into Beacon?

When a new donation is made, you can expect to see it in Beacon within 15 minutes.

How is Gift Aid handled?

As long as you have Gift Aid enabled in your Beacon account, we will create a new Gift Aid declaration in Beacon for any donors that give one. Those donations will then be automatically added to your Beacon Gift Aid claims as part of the usual process.

Do you import marketing consent?

Yes. We log consent opt-ins.

Fundraise Up supports a lot of customisation. If you've added custom marketing consent options in Fundraise Up, these will not be imported. All core Beacon contact consent options will be imported.

What customisation is there?

You can choose whether you want to import:

  • Donations or not, with their related Information (Campaigns, Funds)

  • Gift Aid declarations (highly recommended)

You can also set 'Fixed Data' to help with any automation or tracking.

How do you handle custom fields?

We do not import data for any custom fields in Fundraise Up. If you need this information, you can use an Import Template to bring it into Beacon.

When will you support Fundraisers and Fundraising pages?

We do not currently import Fundraising pages or Fundraisers.

We have no set timeline to so do, but may look to soon. In the meantime, you can import these using import templates.
